Medical Office Admin/Receptionist

Department: Medical Office

Reports To: Office Manager/Practice Manager/Physician

Job Summary: The Medical Office Admin/Receptionist is responsible for managing the front desk operations, greeting and assisting patients, scheduling appointments, managing patient records, handling billing and insurance claims, and ensuring the smooth and efficient operation of the medical office.

Key Responsibilities:

  1. Patient Interaction:
    • Greet and check in patients upon arrival.
    • Verify and update patient information and insurance details.
    • Answer patient inquiries in person, over the phone, or via email.
  2. Appointment Scheduling:
    • Schedule and confirm patient appointments.
    • Manage the office calendar and ensure appointments are accurately recorded.
    • Reschedule or cancel appointments as necessary.
  3. Administrative Duties:
    • Maintain and organize patient records and files.
    • Process patient forms, insurance documents, and other paperwork.
    • Ensure confidentiality and security of patient information.
  4. Billing and Insurance:
    • Prepare and submit insurance claims.
    • Collect and process patient payments.
    • Address and resolve billing issues and discrepancies.
  5. Office Coordination:
    • Maintain office supplies and equipment.
    • Coordinate with medical staff to ensure smooth patient flow.
    • Assist with administrative tasks as needed, such as data entry and filing.
  6. Communication:
    • Answer and direct phone calls to appropriate staff members.
    • Relay messages accurately and promptly.
    • Communicate effectively with patients, staff, and external partners.

Qualifications:

  • Education: High school diploma or equivalent; additional training or certification in medical office administration is required.
  • Experience: Prior experience in a medical office or healthcare setting is required.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Proficiency in using medical office software and electronic health records (EHR) systems.
    • Knowledge of medical terminology and billing procedures.
    • Customer service-oriented with a friendly and professional demeanor.

Work Environment:

  • This position typically operates in a medical office setting.
  • May require occasional evening or weekend hours depending on office needs.
  • Must be able to handle a fast-paced environment and manage multiple tasks simultaneously.

Physical Requirements:

  • Ability to sit for long periods and perform repetitive tasks.
  • May require occasional lifting of office supplies and materials.
